How GAIA Works with Suppliers

Initial Inquiry

Suppliers review GAIA's portfolio and specifications, then contact GAIA via email. Suppliers should include information about manufacturing capabilities, typical MOQ, lead times, and any relevant certifications or past work examples.

GAIA typically responds to inquiries within 48 business hours.

Capability Discussion

GAIA schedules a call or video meeting to discuss suppliers' production capabilities, quality control processes, and how they align with GAIA's requirements. This is also an opportunity for suppliers to ask questions about GAIA's design philosophy, volume expectations, and collaboration preferences.

Duration varies based on project complexity and mutual understanding.

Specification Alignment

GAIA shares detailed technical drawings, material requirements, and quality expectations for the specific project. Suppliers provide feedback on feasibility, suggest any process improvements, and clarify production parameters such as MOQ, pricing structure, payment terms, and lead times.

This stage may involve multiple rounds of discussion to ensure mutual clarity.

Quotation & Agreement

Suppliers provide a formal quotation covering unit pricing, tooling costs (if applicable), sample fees, payment terms, and delivery schedule. Once both parties agree on terms, GAIA proceeds with a written agreement or purchase order to formalize the collaboration.

Sample Production

After receiving sample payment, suppliers begin production of prototypes or pre-production samples. GAIA evaluates these samples for dimensional accuracy, finish quality, material compliance, and overall craftsmanship. Feedback is provided promptly, and revisions are made if necessary.

Typical sample lead time: 4 weeks after specification finalization and payment confirmation.

Sample Approval

Once samples meet GAIA's quality standards, GAIA issues formal approval. This approved sample becomes the reference standard for mass production. Any deviations from the approved sample must be communicated and agreed upon before proceeding.

Mass Production

Upon receiving production payment (typically 30% deposit), suppliers commence mass production. GAIA appreciates regular progress updates and transparency regarding any challenges that may affect the timeline or quality.

Typical production lead time: 4-6 weeks after deposit confirmation, depending on order volume.

Quality Inspection

Before shipment, suppliers conduct final quality inspection to ensure all pieces meet the approved standard. GAIA may arrange for third-party inspection or request detailed photos/videos for remote verification, depending on order size and partnership history.

Shipment & Delivery

After final payment (typically 70% balance), suppliers arrange shipment according to agreed Incoterms. Proper packaging, accurate documentation, and timely tracking information are essential for smooth delivery.

Feedback & Partnership

After receiving and evaluating the final products, GAIA provides feedback on quality, packaging, and overall experience. Successful collaborations often lead to ongoing partnerships, repeat orders, and collaborative development of new designs.
